Annual and financial report Syrphidae Foundation and Journaal van Syrphidae
Year 2023
Introduction
The Syrphidae Foundation was founded on the 28th of September 2021 and on the 1st of April 2022 the first paper of the Journaal van Syrphidae was published.
Here you find the second financial report after the report on the years 2021 and 2022. In this overview the accomplishments regarding the publication of papers in Journaal van Syrphidae is given together with the financial overview. The raw overview can be found in the attached excel sheet. Furthermore the growth in number of Journaal van Syrphidae members and the sponsors is shown. Promoting the foundation and its journal is shortly discussed too.
Finally the financial health in the future is discussed.
Journaal van Syrphidae
The editorial board of the journal consists of Jeroen van Steenis (chief-editor), Leendert-Jan van der Ent, Francis Gilbert, Roger Morris, Gerard Pennards, Axel Ssymank and Tsung-Hsueh Wu. In the year 2023 8 manuscripts have been submitted. One has been redrawn partly based on a negative review, one has not been resubmitted after the first review round yet and the other 6 have been published.
The search for reviewers was fairly easy, except for one manuscript where it took several weeks to find them. On average the time from submission to publication was 123 days. Different editors were appointed for the manuscripts. The authors of the papers included one or more of the editors, except for 2 papers.
In 2024 the number of papers will hopefully reach 12 with the number of papers without any of the editors as author declining. In order to achieve this more outreach should be undertaken. A strategy to achieve this will be thought of during the first half of 2024 with the editorial board.
Membership
The number of members of the Journaal van Syrphidae rose from 25 to 33 with 5 people not paid their subscription yet. The income though the membership dues is thus only €250-330 annually. This is much too little for a sustainable foundation and the publishing of the Journaal van Syrphidae. Other means of income or an extension of the number of members should be achieved in the near future to substantiate this income through this channel. The membership fees where paid through different ways; direct payment, Paypal or Mollie payment. For the last payment methods an amount of about 3-6% is withdrawn by the payment portal, e.g. €16,55 and €4,46 respectively.
Syrphidae Foundation
The Syrphidae Foundation has several goals of which one is the outreach which is accomplished by the publication of Journaal van Syrphidae. Further outreach was done by lecturing at a SPRING meeting in Germany for which the Foundation received some income. Other forms of income came through the EU funded TAXO-Fly project for which the chair of the foundation got refunds.
For running the foundation a website account is maintained with the addition of a webshop for donations, payment of membership fees and promotion products like T-shirts. This is payed biannually at about €380.
Donation and sponsoring
Some individuals, one foundation (Biomongol foundation) and one commercial entomology supplier (Veldshop.nl) donated amounts ranging from €10 to €800. The Syrphidae Foundation on the other hand also supported one foundation (Biomongol foundation) by a small donation.
Other sponsors wil be search for within the field of entomological compagnies and possible non-profit organisations.
Promoting the Syrphidae Foundation and Journaal van Syrphidae
T-shirts have been produced with different logo’s and different background colour for promotion purposes. The costs for these promotion products was €516,51 and income was €243.
Promoting through lectures cost around €700-1000 biannually.
This year other promoting products were introduced too; a sing with a photo of a Syrphid fly with a QR-code linking to an audio-file. These signs have been paid for in 2024.
Finances
In the excel sheet all separate payments can be found and here an overview of the different categories is given.
The nett income over the year 2023 has been €7.607,83 increasing the balance to €15.716,76
The annual amount needed to sustain the foundation and publishing of the Journaal van Syrphidae is around €650. The membership payments and donations and sponsoring is now almost €1300. So more effort and money can be put into promoting the foundation and to start with the announcement of funding for researchers.
